AECOM is actively seeking a creative highly talented Senior Executive Assistant for immediate employment. As part of a team but under own initiative with minimal supervision this position will provide administrative support and activities to the President. The location is flexible; however preference is for candidate to be in Los Angeles.
Key Areas of Responsibility:
+ Drive priorities and manage short-term and long-term schedules; prepare Executive for meetings and appointments; pre-review meeting materials for quality and take action on the Executive’s behalf when appropriate.
+ Schedule and organize demanding business meetings in a timely fashion; engage with colleagues around the organization for efficient calendaring; make recommendations to resolve scheduling conflicts.
+ Maintain and manage extensive calendar for business and personal appointments make reservations as needed and ensure it all makes sense and fill in gaps where needed
+ Prepare meeting spaces for President and see that all aspects of the meeting are running as planned (i.e. technology conferencing any food and beverage)
+ Engage with other internal stakeholders to ensure Executive’s office is maintained and functional.
+ Screen in-coming telephone calls e-mail and regular mail.
+ Manage Executive’s emails and files.
+ Maintain private and business contact database.
+ Complex domestic travel arrangements and all logistics related there to including working with 3rd party travel consultant to plan make and verify travel arrangements for airline hotel and car reservations.
+ Manage special projects and events; liaise with appropriate business partners to execute large business meetings and functions
+ Processing of expense reports management of President’s corporate card
+ Work closely with Chief of Staff to ensure President’s priorities are addressed and anticipate needs
+ 3 + years as an executive assistant capacity to C-suite leader of a Fortune 500 organization.
+ Advanced proficiency in Microsoft Office Suite.
+ Proficient in Apple iOS video conferencing (Cisco) audio conferencing tools (WebEx)
+ Strong communication (both written and verbal) and interpersonal skills; good listener.
+ Service oriented and embraces change.
+ Discretion in handling confidential material and high level of comfort liaising and interacting with directors senior executives and other stakeholders.
+ Ability to multi-task and prioritize a diversified workload meeting established deadlines with minimal supervision.
+ Excellent organizational skills with focus on accuracy and attention to detail.
+ Good judgment tact and initiative to make independent decisions when necessary.
+ Resourceful and able to maintain grace under pressure.
+ Friendly and professional demeanor
+ Positive attitude
+ Proven ability to succeed in a demanding fast-paced environment.
+ Schedule flexibility.
+ Understanding of business concepts.
+ Bachelors Degree preferred
+ 10+ years professional experience
