Position Title Program Support Assistant

AECOM is actively seeking a creative highly talented Program Support Assistant for immediate employment in the Rosslyn VA office. The Program Support Assistant will perform a wide range of data collection/tracking support human resources support office support services monitoring of office resources files and records management support training support correspondence management and general administrative activities that support the day-to-day operations of the Director and the Office. In furtherance of these responsibilities the contractor performs tasks and assignments that typically include but are not necessarily limited to those outlined below.
Data Collection and Tracking Support:
+ Collects compiles and/or tracks data and statistical information in support of the offices program operations
+ Prepares executes and/or tracks program-specific information such as requests for appointment as a contracting officer’s representative Congressional inquiries grants cooperative agreements and/or contracts within the office
+ Maintains systems of program-specific data to track items such as project milestones progress reports funding accomplishments compliance strategies etc.
+ Coordinates incoming data from a variety of sources
+ Reviews documents reports and/or applications for omissions and inconsistencies ensures data entry is complete and accurate and enters pertinent information into an automated tracking system
+ Assists in the planning review and reporting of data/statistical results of program/project studies
+ Establishes protocols for incoming data organizes computerized data sets and retrieves computerized data
+ Serves as the point of contact with lead responsibility for a particular database
+ May assist in maintaining or editing the office’s internet and intranet web pages
Office Support Services:
+ Serves as the liaison on office support services
+ Plans and coordinates a variety of general office support services in support of the work of the office such as requisition purchase storage and maintenance of stock levels; installation repair maintenance and disposal of office equipment etc.
+ Serves as liaison to central administrative staff on office support services for extensive organizational needs
+ Communicates with the supervisor and co-workers in both informal conversation and formal presentations and delivers short briefings and presentations concerning administrative clerical and other non-technical matters etc.
Monitoring Office Resources:
+ Obtains and monitors the use of services supplies and equipment
+ Prepares resource status reports for the supervisors use
+ Procures authorizes controls and justifies a variety of general office resources such as office supply stock levels and office equipment
+ Reviews established procedures for procurement and tracking of office supplies and equipment evaluates their effectiveness and establishes new procedures as required
Files and Records Management Support:
+ Plans and establishes office control systems such as those for the control of the location arrangement access to and use of office files
+ Within established office guidelines acts as a central resource person for implementing and maintaining office control systems such as those for the location arrangement access to and use of office files and for maintenance transfer and disposition of records
+ May perform training support duties such as the coordination scheduling and acquisition of training and/or the maintenance of training records and files
+ May assist in arranging and coordinating training activities
+ May assist in reviewing training requests for completeness and eligibility advising employees on the status of training requests and following up to ensure understanding of training requirements
Correspondence and Information Control:
+ Monitors and controls business papers correspondence and records throughout the office including the coordination of action papers with office and agency staff
+ Develops background information by obtaining specialized information from established sources
+ Organizes material for the supervisor
+ Receives assigns and monitors externally and internally generated correspondence and inquiries
+ Writes proofs and edits memorandums and documents drafted by the Office Director or other DE Staff as necessary
+ Tracks all documents received for Office Director’s clearance
+ Follows up to ensure observance of deadlines and coordination of internal comments and clearance
Administrative Support to Staff:
+ Performs technical and general program support work for the Office Director and a variety of program specialists in support of the line programs of the Office such as the collection compilation research and/or tracking of data and program information
+ Handles various administrative tasks for the Office Director such as scheduling and travel arrangements
+ High School Diploma
+ 3+ years of experience
+ Practical knowledge of technical methods to perform assignments requiring substantive training and/or experience such as carrying out limited projects involving the use of specialized systems or techniques
+ Knowledge of organizational procedures and standards for completed assignments or documents
+ Knowledge of standardized data processing rules operations and procedures to resolve common or recurring problems or to perform standardized variations in work methods
+ Knowledge of computer equipment characteristics and the constraints of support systems work
+ Due to the nature of this work U.S. citizenship is required
+ Active Secret Security Clearance or ability to obtain
+ Bachelors Degree in sciences or math preferred
