Policies & Procedures Specialist II - Ground Operations
The Policy & Procedure Specialist II researches, develops, documents, and implements policies and procedures applicable to all ground operations functions. This Specialist provides support to frontline ramp, fleet and departure coordinator agents, representatives, and leadership by interpreting policy, assisting with investigations, responding to inquiries, and making on-site visits.
Scope & Complexity
This position supports ground operations policies and procedures activities for Alaska Air Group (AAG) and its subsidiaries.
Researches, develops, documents, and implements policies and procedures applicable to ground operations functions.
Creates, modifies, maintains, and ensures the accuracy of all department manuals, publications, and documents and proactively analyzes the need for periodic refresher communication.
Proactively analyzes the effectiveness of new and existing policies and procedures, and make recommendations for change.
Develops requirements for training programs, edits training materials, and approves training curriculum, and instructional materials.
Coordinates with the training development and delivery teams in the decision making process for determining necessary training products.
Communicates policy and procedure changes, and other job-related information, through multiple communication channels (e.g., the Greenlight bulletin system, Yammer, SharePoint, newsletters, conferencing, office visits, and trainer meetings).
Delivers presentations to station management and cross-divisional leadership.
Provides support to frontline ramp, fleet and departure coordinator agents, representatives, and leadership by interpreting policy, assisting with investigations, responding to inquiries, and making on-site visits.
Collaborates in decision making when prioritizing technical enhancements to frontline business systems.
Leads divisional/ cross-divisional teams through Safety Risk Management (SRM) assessments in support of the Safety Management System (SMS) and implements policy and procedure changes driven by SMS.
Acts as subject matter expert (SME) for:
Airport Operations & Customer Service (AOCS), as well as other departments and divisions, in the creation and/or change of policy and procedures.
Process improvement events.
Develops and maintains effective working relationships across organizational levels (e.g., directors, managers/supervisors, trainers, teach coaches, frontline employees, etc.) and works cooperatively with peers within and outside of department.
Facilitates meetings and assists with ground operations product implementations both on and offsite.
Onboards and mentors temporary and new specialist personnel.
Maintains currency of own knowledge and education for policies, procedures, and changes applicable to all ground operations functions.
Performs other duties as assigned.
Proficiency with Microsoft Office applications (e.g., Outlook, Word, Excel, PowerPoint).
Process and detail-oriented with the ability to:
Interpret, develop, and articulate efficient procedures for frontline functions,
Grasp complex issues and processes and evaluate for elements relevant to ground operations functions,
Communicate in a simple, clear, and concise manner.
Identify opportunities for process improvement.
Lead project teams.
Willingness to challenge assumptions and question the validity of established policies and procedures.
Excellent organizational skills, with the ability to manage a number of projects under limited supervision.
Ability to understand the needs and attitudes of the customer to develop a change management plan.
Ability and willingness to travel throughout the Alaska Airlines route system for approximately 10% of work hours.
Minimum age of 18.
Must be authorized to work in the U.S.
A minimum of 2 years of Alaska Airlines frontline airport experience.
A minimum of 1 year of Alaska Airlines ramp and/or departure coordinator experience.
Strong working knowledge of AAG software tools applicable to ground operations.
Thorough working knowledge of Alaska Airlines ground operations policies and procedures.
Working knowledge of fleet service, deicing, and fueling procedures.
Technical writing, training, job coaching, or supervisor experience.
Knowledge of project management methodologies and processes.
