The Boeing Company is currently seeking an Executive Office Administrator to support the senior Site Executive, our growing site team, and EA-18G Growler Program in Daytona Beach, Florida.

This is a unique opportunity to support a brand-new Boeing facility in its early stages as well as an exciting and dynamic program. The ideal candidate has experience supporting executives with a high degree of professionalism and discretion, while also being proactive and demonstrating robust attention to detail, along with the ability to balance and adjust competing priorities efficiently and effectively.

Position Responsibilities: 

  • Establish and maintain effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information
  • Assist in planning, coordinating, and implementing logistics for visiting customers and Boeing executives, including supporting visitor badging requests
  • Process and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Prioritize, manage, and schedule time and availability for most efficient use of time
  • Coordinate domestic business travel, monitor traveler logistics, generate expense reports, and reconcile corporate credit card charges to ensure timely and accurate reimbursement
  • Create, edit, and maintain electronic and written communication
  • Coordinate with the appropriate focal to support the acquisition and maintenance of resources
  • Order and maintain office supplies
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Create, manage and schedule meetings around multiple calendars and appointments
  • Provide guidance for less experienced employees
  • Work under limited supervision

This position is expected to be 100% onsite. The selected candidate will be required to work on-site at the listed location.

This position requires the ability to obtain a U.S. Security Clearance for which the U.S. Government requires U.S. Citizenship. An interim and/or final U.S. Secret Clearance Post-Start is required.

Basic Qualifications (Required Skills/Experience):   

  • 5+ years experience in an office administration role
  • Experience with Microsoft Outlook, Word, Excel and SharePoint and Teams
  • Experience managing dynamic schedules and calendars
  • Experience coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges

Preferred Qualifications (Desired Skills/Experience):

  • Experience with Boeing procurement tools such as SSPN
  • Ability to juggle competing priorities from different sources
  • Team oriented attitude and working together focus
  • Experience working with Concur or other similar expensing programs
  • Experience working directly with DOD/US Government customers

Travel:

This position may require travel up to 10% of the time
